The gas station daily sales report, line by line

A gas station daily sales report is one page that shows what a store sold yesterday and whether the money is all there. It covers fuel by grade, inside sales, total sales, tender mix, lottery, cash over or short, deposits, payouts and voids. Read together, those lines tell you if the day was normal.

In short

  • The useful lines are the checks: over or short, voids, the lottery gap and fuel against inside.
  • Compare every number with the same day last week, never with yesterday alone.
  • A back office builds the report from the POS overnight, so nobody retypes it.

What goes on a gas station daily sales report

Every version of this page holds the same sections, whether it lives in a binder or on a screen. Head it with the date, the shift and who closed it. Then copy the table into a spreadsheet, one column per day.

The examples are one ordinary day at one store. Yours will differ, but the shape should not.

Gas station shift report and the daily checklist

A shift report covers one session: one cashier, one drawer, a few hours, closed and signed. The daily report adds the shifts together, plus deposits, fuel gallons and the lottery count. Run both, because cash only belongs to one person for a few hours.

The report is only as good as the routine that feeds it. This checklist fits on a card by the safe.

End of shift, in order

  • Close the session on the register and save the summary.
  • Count the drawer twice and write down counted cash.
  • Record each lottery bin: Game, Book number and Next sellable ticket.
  • Bag the deposit, log the bag number and sign the sheet.

How to read the daily report in five minutes

Start with cash over or short. A dollar either way is rounding, but the same shift short three days running is a pattern. Set your own limit per shift and write it on the closing sheet.

Then compare total sales with the same day last week, and read fuel and inside apart. Gallons up with inside sales flat means customers pump and leave. Finish with the lottery gap and voids per 100 sales.

How the daily sales report comes out of your back office

None of this needs software, but it needs someone to do it every day, and that is where paper fails. A back office pulls the sessions from the POS overnight. The Dashboard already shows Inside sales, Fuel and Total sales when you open it.

Till Settlement holds each drawer: Sessions, Cash to verify, Counted cash and Net over or short. Reports hold the day and the month for one store or all of them, on your phone too.
